Archiving Policy

Effective From: August 2024

  1. Purpose

The Archiving Policy of Scholarly Publication ensures that all published scholarly content remains accessible, discoverable, and preserved in perpetuity, regardless of changes in technology, hosting, or journal status.

  1. Scope

This policy applies to:

  • All peer-reviewed articles published under Scholarly Publication journals.
  • Associated metadata and supplementary materials.
  1. Digital Archiving and Preservation

Internal Archiving

  • All content is backed up daily and stored in a secure cloud infrastructure with multi-location redundancy.
  • Files are stored in long-term preservation formats:
  • Articles: PDF/A, HTML
  • Metadata: XML (JATS DTD), Dublin Core
  • Supplementary data: CSV, TXT, MP4, XLSX, ZIP (depending on data type)
  1. Self-Archiving Policy

Authors are encouraged to deposit any version of their manuscript (submitted, accepted, or published) in:

  • Institutional repositories
  • Subject repositories (e.g., arXiv, SSRN, PubMed Central)
  • Author’s personal website
  • Academic networking platforms (e.g., ResearchGate, Academia.edu)

Conditions:

  • No embargo is applied.
  • Proper citation of the version of record must be included.
  • The DOI and link to the publisher’s official version must be provided.
  • Authors are encouraged to apply a Creative Commons license (e.g., CC BY 4.0) to maximize reuse potential.
  1. Metadata and DOI Registration

We are committed to preserving complete and standardized metadata for all scholarly content.

Currently, metadata is:

  • Structured using XML (JATS DTD) and Dublin Core standards.
  • Integrated with the OAI-PMH protocol (Open Archives Initiative Protocol for Metadata Harvesting).
  • Shared with indexing and discovery services such as: Google Scholar; ResearchGate; Zenodo; OpenAIRE
  • DOI Registration: Currently, all articles published by Scholarly Publication are submitted to the Zenodo repository for DOI registration.
  1. Journal Discontinuation Policy

In the event a journal is discontinued:

  • All previously published content remains freely accessible either on the existing website or via trusted permanent repositories such as Zenodo, Figshare, or institutional repositories.
  • All DOIs remain active and resolvable, redirecting to the archived content.
  • The journal homepage will include a discontinuation notice, along with a clear archive access path.
  1. Responsibility

The Technical Editorial Committee of Scholarly Publication is responsible for:

  • Managing and monitoring all internal and external archiving processes.
  • Performing routine system audits.
  • Migrating files to new formats as technology evolves.
  • Ensuring the integrity of metadata and preservation systems.
  • Coordinating with third-party archiving networks and repositories.

  1. Policy Review and Versioning

This policy is reviewed annually by the Archiving Committee to maintain alignment with technological developments, indexing agency requirements, and open-access standards.
